“The company” refers to ShapShap Travel/ Reizen and the partners working for and with ShapShap Travel/ Reizen.

PASSPORTS, VISAS AND OTHER TRAVEL DOCUMENTS
It is the client’s sole responsibility to ensure that passports, visas, health certificates, proof of vaccinations and any other required documentation are all in order for the countries to be visited. The company cannot be held liable for any consequences, damages or claims if the client prior to commencement of the tour does not correctly attend to the client’s documentation and related matters.

Your passport has to have enough open pages for all the visas that you need for each tour. If you don’t have enough open pages in your passport you might not be able to enter a country and you might be sent back to your country of residence. Your passport has to be valid for at least 6 more months after the tour ends. When renting a vehicle, you will be required to show a valid drivers license or a valid international drivers permit. Please note that you will also need a credit card when renting a vehicle.

INSURANCE
Comprehensive travel and cancellation insurance is mandatory on all tours. It is the client’s responsibility to ensure that they have this insurance in place and the required paperwork to prove such before embarking on the tour. Any resulting consequence of not having this paperwork is the sole responsibility of the client.

BAGGAGE
All baggage and personal effects are at all times the client’s responsibility and the company does not accept any liability for any loss or damage of any personal effects, howsoever arising. Clients are entitled to one bag of not more than 20 kg and a daypack. Should the client require a larger baggage allowance, this can be arranged at the discretion of the company and on payment of a fee that the company may levy. The company retains the right to refuse excess baggage. In the case of the Kilimanjaro climb and Everest Base Camp Trek, the maximum weight is limited to a maximum of 15 kg and a daypack.

RISK
The client accepts that all tours are of an adventurous nature and involve an element of personal risk. The company shall not be held liable in any way for any injury, loss of life or damage to property, howsoever caused and the client hereby indemnifies and holds the company, assigns and servants harmless from any such claim. The client accepts full responsibility for all risks involved.

HEALTH
The client accepts that to participate in the tour requires a measure of physical fitness and health and it is the client’s obligation to ensure that they are medically fit to embark on the tour. We do however require a medical certificate or doctor’s letter in respect of all clients over age 65, confirming that they are medically fit to undertake the tour.

It is important to find out if you need any vaccinations or prophylactics before you start your tour. We suggest you speak to your doctor or pharmacist about the tour and the areas that you will visit. It is also not possible for the company to judge whether a tour will suit your current medical condition. We suggest that you speak to your doctor before the tour.

AUTHORITY ON TOUR
The decisions of the tour leader on tour shall at all times be final and binding. The client must at all times comply with the laws, customs and foreign exchange regulations of all countries visited. Should the client be in any contravention of the above or the client is a nuisance to the group the driver/ guide may order the client to leave the tour without any claim to a refund. The client shall be obliged to make their way home at their own expense.

MARKETING
The company reserves the right to use any photographs and videos made by the company and its staff during tours for use in marketing or any other advertising material and the client hereby gives consent of such photographs and videos to be used. The company will retain copyright over such material. The company also reserves the right to use photographs and videos sent to the company by the client as marketing or any other advertising material and it may be used in our guestbook or photo gallery.

FORCE MAJEURE
Unforeseen circumstances including but not limited to war, mechanical breakdowns, weather, riots and other unforeseen reasons beyond the control of the company may cause delays or alterations to the tour. The company shall not be held liable in any way for any of these possible occurrences or any consequences, which may arise as a result of these. In case ShapShap Travel/ Reizen is held responsible this will be to a maximum amount of € 1000.

TRAVEL WITH AN OPEN MIND
All countries are different from what you might be used to, but that is probably one of the reasons why you are going there. You will experience a different world and you will be out of your comfort zone. That means you will be in contact with different customs and cultures and different mentalities. That is part of the reason and the appeal of why you are going on tour. You have to keep in mind that something might happen on tour that is not planned for. Some things are just different than at home. Meals, hotels, vehicles and infrastructures differ from country to country and where you come from and what you are used to.

CHANGES BY THE COMPANY
We organize tours with an adventurous nature all over the world. It is possible that we might have to make some unforeseen changes during a tour. It can happen that we take a different route or stay in a different hotel or campground due to certain unforeseen circumstances.

GROUP SIZE
Each tour has a minimum and maximum number of passengers. In the unlikely event that the minimum number of passengers are not met, you will be informed by the company at least 21 days before the start of the tour. In this case you will receive a full refund. 

TRAVELLING BY YOURSELF
If you are travelling by yourself, you will share a room or tent with another passenger of the same sex as far as possible. If you want to be assured of your own room or tent, you can pay the single supplement and we will as far as possible supply you with your own tent or room. This information can be found in the tour description.

DETAILED TOUR DESCRIPTION
On www.shapshaptravel.com you will find practical information and a detailed day to day description of each tour. Please read this important information carefully, since it forms part of the terms and conditions. This information will not be sent to you automatically. If you don’t have access to the internet, we can, on request, send you all this information via mail. 

PAYMENT AND INVOICE
After we have received your booking form you will receive an invoice as soon as possible where you will find the payment details for the company. To secure your place on the tour of your choice, your payment has to be done in full within 10 days after we have sent you the invoice. Once your payment has been received, you will be sent a receipt or a travel voucher which will serve as your confirmation. Check the receipt or voucher for names and number of participants. When booking a tour less than 30 days before the start of a tour, payments have to be made in full within 48 hours after receiving an invoice. Payments for flight tickets have to be paid immediately.

PRICE RESERVE
We reserve the right to adjust the price of each tour. This may be caused by fluctuations in currency, fuel prices, VAT or the likes.

INFORMATION BEFORE DEPARTURE
After your confirmation of the tour we will inform you of any more details about the tour via e- mail. Please always include your e- mail address. If you don’t have an e- mail address we can send the information by mail. In this case include your mailing address.   

CANCELATIONS
In the case of a booking cancellation, the company shall retain 25% of the tour price. If a booking is cancelled less than twenty-eight (28) days prior to the tour departure date, then the client is subject to a cancellation fee as follows: 28 – 15 days - 50% of total fare, 14 – 07 days - 75% of total fare, 06 – 00 days - 100% of total fare.

Any passenger joining a tour after the departure date, or not at all, or leaving before the completion of the tour for any reason whatsoever, is not entitled to any refunds whatsoever from the company, or entitled to claim any costs for any added expenses. Tours are subject to a minimum booking. If that number is not obtained, the Company reserves the right to cancel the tour. A full refund would then be payable to all booked clients. The Company reserves the right to cancel any tour at its sole and absolute discretion, without prior notification in instances where this is unavoidable. However, in this instance the Company agrees to refund all monies already paid by the client. This shall be the Company’s sole responsibility to the client and no claim for any damages, howsoever arising, shall accrue against the company.

THE GROUP TOUR PRICE
The tour price includes:

- Accommodation as per itinerary
- Local transportation as per itinerary
- Meals as per itinerary
- Excursions as per itinerary
- Entrance and conservation fees as per itinerary
- Guiding as per itinerary

The meals that are not mentioned, the required visas and travel and cancellation fees are not included in the tour price.
